1. Apollo.io: My Go-To Tool for Cold Outreach
Instead of using LinkedIn to gather email addresses, I use Apollo for my cold email outreach. I’ve been using Apollo’s Starter plan for over a year, and I mainly use it to find email addresses and manage my cold email outreach.
Start with your ideal client profile
Before searching for people or companies, you need to understand your ideal client profile.
If you don’t have a clear idea of who your ideal client is, you’ll end up sending mass emails to random people. I don’t recommend doing that because it can lead to spam reports and unsubscribes.
Instead, start by thinking about: your specialty, the specific results you help clients achieve, and who your ideal clients actually are.
You can also look at your past data and results to understand who you’ve been able to support.
Find the right people
Once you know your ideal client profile, you can search by People or Companies.
If you already know the company names, you can search for people within those companies. If you don’t, start with the company search first.
Apollo lets you narrow your search using filters such as: job title, location, company size, management level, and keywords.
I usually filter for Founders, Heads, VPs, or C-suite executives depending on the company size.
I don’t reach out to interns or entry-level employees because they aren’t the people making decisions.
You can also save contacts into lists and export them in bulk.
Send and track emails
Apollo also lets you send emails directly from the platform. It includes AI-generated email templates, but I prefer writing and using my own.
One feature I use a lot is email tracking. I can see whether someone opened my email, clicked it, or opened it multiple times.
The platform also includes meeting scheduling, conversations, and analytics.
That’s one of the reasons I prefer Apollo over doing outreach directly through LinkedIn.
HY Tool Recommendation: Want to spend less time searching and more time connecting? Apollo.io makes it easy to find qualified prospects and streamline your outreach.
2. AuthoredUp: Optimize Your LinkedIn Posts
Check your post before publishing
One of the features I use the most is the mobile preview. It shows exactly how many characters people will see before they have to click See more on LinkedIn.
That helps me strategically write my copy because I can see what my audience will see first. LinkedIn doesn’t provide this view natively.
Schedule your content
AuthoredUp lets you: write posts, schedule posts, manage your content calendar, and organize upcoming content.
The platform also provides hook and CTA suggestions. It also recommends older content that can be reused based on previous performance.
Review your analytics
AuthoredUp provides detailed analytics for your LinkedIn content. You can review: posting frequency, likes, comments, shares, impressions, word clouds, post types, and reaction timelines.
You can also manage your scheduled, published, and saved posts in one place.
If you’re working with a team, the Business version lets everyone view scheduled company content from one dashboard.

3. Metricool: Manage Multiple Social Media Platforms
If you’re working with a marketing team rather than managing everything on your own, Metricool helps you manage your content from one place.
Schedule content across channels
From the planning section, you can create a post, choose the social media platforms you want to publish on, and schedule everything from one dashboard.
Instead of scheduling each platform separately, you can manage multiple channels at once.
Monitor your marketing
Metricool also lets you view: social media analytics, website analytics, LinkedIn community insights, audience demographics, and post performance.
I’m currently using the Starter plan, but there’s also a free version if you don’t post very often.
Generate reports
One feature I really like is the reporting section.
If you’re working with clients, you can download a PDF report instead of summarizing everything yourself.
Metricool also lets you:
- see the best times to post, and
- organize your content using a calendar or list view.
Final Thoughts
Each of these tools serves a different purpose in my workflow.
- Apollo.io helps me find the right people and manage my outreach.
- AuthoredUp is a specialized LinkedIn content creation tool to fully optimize your linkedin posts and metrics.
- Metricool helps me manage content across multiple platforms and monitor performance.
You don’t need to use all three right away. Start with the one that solves your biggest challenge today, then build your workflow over time.
The goal isn’t to use more tools. It’s to use the right ones to make your outreach, content creation, and marketing more organized and efficient.
